1. Cancelling before the monthly deadline
You may cancel for any reason before 11:59 pm on the 25th, Europe/London, for the relevant open call. We provide a full refund of the amount paid to Arrival Shows, including VAT and artwork add-ons.
Use the cancellation route in your secure submission link or contact curator@arrivalshows.uk with your submission reference and a clear statement that you want to cancel.
2. Cancelling after the monthly deadline
After the monthly deadline, we do not provide a discretionary change-of-mind refund because exhibition preparation, review, production, and publication are underway. This does not affect statutory cancellation rights or remedies for a service that does not conform to the contract.
Where you expressly asked us to begin the service during a statutory 14-day cancellation period, the law may permit a proportionate charge for service already supplied. We will explain the basis of any deduction and will not reduce a refund where the law does not permit it.
3. Failed payments
A failed payment does not reserve a place. We may email a secure retry link that remains usable until the open-call deadline, subject to capacity.
If your bank shows a pending amount after a failed attempt, it may be a temporary authorisation rather than a completed charge. Contact your bank before making repeated attempts. If our payment records confirm a duplicate or erroneous completed charge, we will refund the erroneous amount.
4. Incomplete paid submissions
If payment succeeded but required information or valid images are missing at the deadline, the submission transfers automatically to the following month once. The paid package and artwork allowance transfer with it. No additional transfer fee is charged.
You must complete a valid submission by the following month’s deadline. If it is still incomplete then, we cancel the submission and issue a full refund, including VAT and paid artwork add-ons. A second transfer is not offered. Statutory rights remain unaffected.
5. Rejected content
There is no subjective artistic selection. A submission may be rejected following staff review if it breaches the content rules or presents a legal, rights, safety, or reputational risk.
A submission rejected before publication receives a full refund, including VAT and artwork add-ons. We will explain the outcome by email. Where reasonably possible, we may first allow clarification, correction, or replacement, but we do not have to publish unlawful or prohibited material.
6. Cancellation by Arrival Shows
If Arrival Shows cancels an exhibition, you may choose:
- a full refund, including VAT and paid artwork add-ons; or
- transfer of the same package and artwork allowance to the following month.
We will email a secure route for recording the choice. A transfer under this section is separate from the one-time incomplete-submission transfer.
7. Transfers requested by an artist
We do not generally offer artist-requested transfers. Transfers are available only where this policy expressly provides them, where we agree a documented exceptional remedy, or where required by law.
8. How refunds are paid
We return approved refunds to the original payment method unless the law requires otherwise. We confirm by email when the refund has been instructed and provide a reference where available.
The payment provider or your bank controls how long the credit takes to appear after issue. We refund only amounts received by Arrival Shows; we do not reimburse a bank or card provider’s separate currency-conversion or international-transaction fee.
Where consumer law sets a refund deadline, we comply with that deadline. Operational service-level wording must not suggest a longer period.
9. Statutory rights
Consumer law may give you a 14-day cancellation right for a distance service contract and remedies where a service is not provided with reasonable care and skill or does not match binding information. Exceptions and proportionate charges can apply when you expressly request early performance. See the Terms and Conditions for the cancellation instructions and model cancellation form.
Nothing in this policy replaces or restricts rights that cannot legally be excluded.
10. Contact
